I keep a close eye on approval books since I have found great stuff there. I go into "new books" on a regular basis, make sure they are in order and check out books of interest. I find that as long as I check regularly nothing usually slips past. I notice that the book numbers sometimes are missing a few. Sometimes these missing numbers slip in later and I end up missing a good book. I wondering how this happens. Do people who are posting books reserve numbers that get filled later, or am I just imagining things?
Harvey it is probably because the book number is allocated when the book is created but if it is not activated straight away will not appear in the list until activated.
However, if you have not looked at a book, it will show the red "NEW" indicator. You can click on the column header for book numbers, and sort them. It will fill in the missing numbers in numerical order.

You can also sort the book list either in chronological order or by percentage sold, or by seller name, or etc.... just click on the column title.
Also, you can search, for example on a key word, or country, seller etc...
Tim has put together a remarkable piece of software!
And when you open a book, you can also easily find all the books issued by the same seller.
Clicking twice will reverse the order of the sort.

I have to be more careful now that I realize how the page works. I did my usual thing this morning, opened "new books" and put them in numerical order. I usually check down the page about half way. Today there were several new books near the bottom of the page, including "Cuba", which I always check. I guess the seller must have reserved his numbers quite a while ago to put the books so far down the page. I really do have to be more careful.
You can't really "reserve" book numbers. When you go to ADD a new book, the book number gets assigned at that point. When you activate the book, then the book shows up for people to view. As you found, if it takes a while for the seller to activate a new book, it can show up down the list. As Ralph pointed out, there are many ways to sort and search for approval books.
Before finding my stamps and listing a book I always "Get a Number" - It often takes me a week or two to organise and activate a new book (For that Number) so the number will nearly always be "Out of order" with other numbers listed.
