Club Business & Announcements/Tech Advice : The large number of emails being sent out from the SOR server is starting to cause blacklist problems with email providers
Hi Everyone,
Each time an auction lot or and approval item is sold an email is sent to both the buyer and the seller (unless the seller has indicated in their profile that they don't want to receive the sellers confirmation emails). Roy has let me know that the large number of emails, particularly when a seller is selling large numbers of auction lots and approval items and hence getting lots of emails, is causing blacklist problems with email providers.
I am opening this issue up for discussion. Possible solutions that I can see are:
1. Stop sending confirmation emails (to buyers and/or sellers) when approval items are sold
2. Stop sending confirmation emails to sellers when auction lots are sold
3. Send a summary email to sellers once each day detailing the items sold on that day and don't send confirmation emails to sellers for each item or lot sold.
Let me know your thoughts. I'm going to have to act on this fairly quickly. Email blacklist problems are very difficult to clear up.

"...Email blacklist problems are very difficult to clear up."
From my perspective the answer is simple, limit notifications to a daily summary, if desired by the buyer and/or seller.
If I'm not mistaken, blacklisting doesn't just impact the recipient of the large number of emails -- it impacts all of us who are using the same internet service provider.

I would also vote for #3 with the added comment that the summary emails be sent each morning. This give the seller enough time to find the orders, put them together and get them to the Post Office that same day. That is, provided the buyer has sent funds to the seller.

#3 would be fine if it will solve the problem. If it creates a technical I would have no problem eliminating them entirely and just use the buyer or seller account - the information is readily available.

I agree with all the above responses. I'm for option #3.
You ought to look at your browser history when all those emails are banked in it. It will eventually overload your computers memory if you continue to purchase or sell a lot items in addition to all your other computer activities.

I would love option # 3 too ! I really do not need an email for every single item selected out of an approval book. I spend quite a bit of time deleting them anyway !

Thank you everyone for your feedback. I'll work on option #3 this coming weekend. In the mean time I'm going to discontinue email notifications on the Approval purchases. This should solve a large part of Roy's problem. I should have the daily emails in place by the end of this coming weekend.

Tim you may want to also explore the email that goes out when an auction ends as well. I get about 150 of those a week and all I do is delete them. They too can probably be all combined into one email

Hi Greg,
Two minds with a single thought. I'm planning to put the Approval Sales, Approval Purchases and the Auction Sales into the one summary email each day. I'm leaving the Auction Purchases as individual emails because the auction buyers want to know when they have won an auction.

Have the individual emails for approval sales stopped already ? I had a bunch of approval sales yesterday and I did not get any emails or a summary email ? Have they just stopped now altogether ? Thanks, Steve

Ian and Robert,
Thanks for your comments. I'm glad it is working for you.
Now that we have this in place, would any one have a problem if I turn off the Sellers Auction notification? I want to leave the auction buyers notification in place because if you are buying in the auction, you want to know that you have been successful with your bid. Will you sellers be OK if you just get the daily email?
re: The large number of emails being sent out from the SOR server is starting to cause blacklist problems with email providers
The current daily Sales Summary contains Auction sales and purchases as well as Approval sales and purchases. I'll stop the sellers notification on each auction sale this weekend.
re: The large number of emails being sent out from the SOR server is starting to cause blacklist problems with email providers
Jim,
The Daily Sales Summary is sent at one minute past midnight (Eastern Standard Time) each night and will include sales and purchases for both the Auctions and the Approvals for the last 24 hours.

Very happy with this summary - it is also useful for pulling stamps out of the books for each person - using the online listing was hard and I seemed to miss some on large orders - now I can print the summary and check them off as I grab the stamp. A real time saver besides getting rid of those individual emails for each stamp in an approval book sold !! Thanks Tim, Steve
